Role Responsibilities
The Government of Alberta is seeking an Administrative Assistant to provide general administrative support within the Disability Services South Zone office in Calgary. This is an entry-level administrative support role that contributes to the effective day-to-day operation of the office by providing reception, records management, document processing, mail distribution, and general office support.
The successful candidate will work within established procedures and collaborate with internal and external stakeholders to ensure administrative services are delivered in a professional, timely, and organized manner.
Key Responsibilities
As an Administrative Assistant, you will:
- Provide reception support by answering and directing telephone calls, taking messages, and assisting clients and visitors.
- Receive, sort, distribute, and process incoming and outgoing mail and documents.
- Prepare, format, and type correspondence, letters, memos, reports, and other documents using established formats.
- Maintain organized and accurate filing and records management systems, including labelling and filing documents according to established standards.
- Split and organize files into volumes in accordance with records management requirements.
- Operate standard office equipment such as photocopiers, scanners, and fax machines.
- Monitor and maintain office supplies, forms, and storage areas, including keeping supplies organized and ensuring records of goods received are maintained.
- Provide a variety of other administrative support services as required to support the effective operation of the office.

Qualifications
Minimum Requirement Standard: High School Diploma.
Equivalency: Directly related experience considered on the basis of one year of experience for one year of education.
Assets include
- Knowledge of general office procedures, including reception, filing, records management, data entry, mail processing, document preparation, and office equipment operation.
- Previous administrative or office experience, preferably in a busy office or client-facing environment.
- Strong verbal communication and interpersonal skills, with the ability to interact professionally, courteously, and respectfully with clients, colleagues, and stakeholders.
- Strong organizational and time-management skills, with the ability to prioritize competing tasks, maintain accurate records, and demonstrate attention to detail.
- Experience working in a government, human services, or community-based environment, and the ability to work effectively with individuals from diverse backgrounds while exercising professionalism, tact, and discretion.

- Hours of work are 36.25 hours weekly.
- Location: Calgary, Alberta
- This competition will be used to fill one temporary position for a term of up to 12 months.
- This role requires that you have a valid Class 5 Driver's License and access to a reliable vehicle.
- Candidates must be eligible to work in Canada. A current work visa is required.
