The Opportunity
Our Facilities Services team is looking to add a Business Analyst to support the effective management and optimization of our real estate portfolio. This position combines business analysis, lease administration, financial operations, and stakeholder coordination to support informed decision-making and portfolio performance.
We are seeking a highly organized and analytical professional with experience in real estate operations, lease management, financial analysis, and cross-functional collaboration. This individual will provide critical insights and recommendations through business case development, lease analysis, and financial reporting while partnering with internal and external stakeholders to ensure compliance, operational efficiency, and successful execution of real estate transactions and initiatives.
What you’ll do
Lease Administration & Analysis
- Review and analyze lease agreements to identify key terms, obligations, end-of-lease conditions, and decommissioning requirements
- Maintain accurate lease records, critical dates, and documentation
- Support lease lifecycle management, including renewals, amendments, and terminations
- Draft lease documents to be reviewed by legal counsel
Financial Operations & Lease Accounting Support
- Process lease payments and ensure accuracy and timeliness
- Perform payment reconciliations and resolve discrepancies
- Manage subtenant payments and invoicing
- Partner with accounting teams to support lease accounting processes and financial reporting requirements (e.g., compliance with accounting standards under ASC 842)
- Assist with budgeting related to real estate portfolio including preparing rent reports for the 4&8 and 8&4 budgeting cycles and explaining rent variances
- Ensure billing aligns with lease terms and contractual obligations
Business Analysis & Case Development
- Develop business cases by documenting file history, analyzing scenarios, and recommending outcomes
- Provide data-driven insights to enhance portfolio performance, cost efficiency, and risk mitigation
- Support decision-making with clear analysis and structured documentation
Stakeholder Liaison & Document Management
- Act as a liaison between business units, legal counsel, and external stakeholders
- Coordinate and facilitate the review, preparation, and execution of real estate documents
- Manage document workflows, including sending agreements for signature and maintaining records
Minimum Qualifications
- 2 or more years of experience in real estate administration, lease administration, business analysis, financial operations, or a related field
- Post-secondary diploma or degree in Business, Commerce, Economics, Real Estate, Accounting, Finance, or a related discipline an asset
Preferred Qualifications
- Experience reviewing and interpreting contracts, lease agreements, or other legal/business documents
- Experience supporting financial processes including invoice processing, reconciliations, budgeting, or reporting
- Proficiency with Microsoft Excel and other Microsoft Office applications
- Experience maintaining records, managing documentation, and coordinating multiple priorities in a deadline-driven environment
- Experience supporting commercial real estate portfolios, lease administration, or corporate real estate functions
- Working knowledge of lease accounting requirements
- Experience developing business cases, financial analyses, and recommendations to support decision-making
- Experience working with lease management, real estate, or enterprise resource planning (ERP) systems
- Knowledge of budgeting, forecasting, rent reporting, and variance analysis
- Experience coordinating with legal, accounting, stakeholders, Landlords, Tenants, and external service providers
- Professional designation or coursework in Real Estate, Accounting, Finance, Business Analysis, or a related field (e.g., RPA, FMA, CBAP, CPA courses, Real Property Administrator certificate) an asset
- Experience supporting real estate transactions, including lease renewals, amendments, acquisitions, dispositions, or subleasing activities
