As the operational backbone of the CADX Unit, the Section Administrator works alongside the Director and leadership team to keep leadership priorities, cross-team scheduling, and time sensitive council communications moving seamlessly. In this dynamic role, you will be the central point of contact balancing executive support from proofreading and fact checking critical briefings to tracking key leadership decisions with essential day-to-day operations like SAP Ariba financial processing, section-wide communications, and City of Edmonton records compliance.
What will you do?
- Providing a single point of contact for the Director's office with the Branch Management Office (BMO) and other teams across Community Services and other Departments across the City
- Ensures all correspondence including council inquiries, briefing notes, communications materials, coordinated responses and submissions are in proper format, typographically correct, and convey accurate and appropriate information prior to Director Approval
- Redirecting incoming invoices and mail inquiries, leveraging understanding of various CRC programs to direct requests appropriately
- Administering a filing system for document management, retention, disposition, and distribution in compliance with ATIA and records management procedures
- Internal Communication Strategy and Production: Managing key section communications, including acting as the editor of regular unit-level and section-level communications. This involves managing content gathering, layout, and distribution to ensure essential communication support is consistently delivered across all CADX areas
- Executive Document Readiness: Supporting the Director's office by ensuring all correspondence (including communications materials and coordinated responses) is in proper format, typographically correct, and conveys accurate and appropriate information before Director Approval. The role acts as a regular contributor to the Community Recreation and Culture Branch Update
- Ensuring staff accurately and timely submit client billings to Corporate Billings through the creation of forms and spreadsheets
- Creating and submitting invoices through Accounts Receivable for client contracts and other payables as directed by management
Completion of High School Diploma including business subjects with emphasis on word and
information processing or completion of an accredited administrative professional certificate program
- Minimum two years of progressively responsible, diversified office and administrative experience
Skills required for success:
- Ability to work independently within established policies, procedures and section objectives
- Ability to make independent decisions relative to coordinating and communicating requests for action
- Ability to deal with confidential information on a routine basis with a high degree of judgement and discretion
Ability to recognize politically sensitive issues and bring matters of priority to the Senior
Manager’s attention
- Ability to summarize reports or other material and to compose effective and accurate correspondence
- Excellent written and oral communication skills; strong interpersonal skills for interacting with staff at all levels of the organization
- Ability to plan/organize Director’s schedule
- Knowledge of the purpose, organization, policies and procedures governing the section and wider department
- Considerable knowledge of the principles of office management and of progressive office procedures and systems. Experience SAP Ariba, RAMS and with not-for-profits and charities or program administration considered an asset
- Knowledge of ATIA and POPA practices, and coordination of such requests
- Ability to adapt to changing priorities, technology and environment
- Ability to establish and maintain effective working relations as necessitated by assignments
- Expected to be fully conversant with standard and computerized office equipment and highly developed administrative skills

Work Environment:
- The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance
Conditions of Employment
