Accommodations are available during the hiring process, upon request.As a Departmental Business Coordinator, you will provide advisory support to Infrastructure Services' General Manager and Senior Executive Advisor to fulfill the complex, dynamic needs within the General Manager's Office. This role will involve delivering calendar coordination, strategic analysis, recommendations, and high-quality documentation, guided by a project management mindset and strong political acumen to advance various priorities, programs, and projects. You will identify opportunities for continuous improvement and efficiency around office systems, processes, and drive the development and implementation of solutions. Primary duties include:
- Coordinate calendar management for the General Manager Office to ensure key priorities are addressed in an efficient and timely manner.
- Work closely with internal and external parties to identify, resolve, and mitigate reputational, political, and/or operational issues through the implementation of initiatives.
- Strategically lead the process to research, analyze, and package information for various audiences.
- Coordinate and monitor strategic priorities, executive commitments, and key initiatives, proactively tracking progress, identifying barriers, and facilitating accountability and follow-up to ensure timely completion and alignment with organizational objectives.
- Coordinate, consolidate, and analyze reports, including using design methodologies and tools to streamline and improve reporting efficiency and effectiveness.
- Develop, maintain, and continuously improve administrative and operational processes within the General Manager office to enhance efficiency, information management, and service delivery.
- Coordinate agendas, briefing materials, records of discussion, and follow-up actions related to executive leadership meetings, council matters, and governance activities, ensuring information is accurate, complete, and delivered within established timelines.
- Anticipate emerging issues, risks, and competing priorities, recommending adjustments to schedules, briefings, and commitments as required.
- A degree in Business, Communications, Political Science, Public Policy, or a related field and at least 5 years of executive support and departmental coordination experience in complex, high-profile, fast-paced offices.
- Intermediate proficiency with Microsoft Office Suite (PowerPoint, Excel, Word, Teams), SharePoint and Adobe Acrobat Pro.
- Demonstrated ability to integrate AI-enabled tools and collaborative business processes to enhance productivity, streamline workflows, and support continuous improvement.
- Preference will be given to applicants with the following:
- An understanding of municipal governance and operational processes.
- Experience in coordinating projects involving internal/external partners, demonstrating an ability to establish effective processes and systems to address challenges, fulfill needs, and enhance efficiencies.
- Experience with Escribe software, Content Server, myHRconnect.
- Experience with Access to Information Act (ATIA) and Protection of Privacy Act (POPA).
- This role requires the ability to communicate effectively while maintaining a high level of customer service, confidentiality, and exercising discretion.
- The successful candidate will possess strong negotiation skills, the ability to organize and prioritize tasks, a high attention to detail, initiative, problem-solving, and adaptability in a fast-paced environment.
