MacEwan University is seeking an Information and Registration Assistant for a full-time continuing opportunity with our Information & Registration Services department in the Office of the University Registrar (OUR).
The Information and Registration Assistant provides responsive, empathetic, and professional service to current, former, and future students while focusing on accuracy, collaboration, integrity, and resolution. You will serve as first point of contact in relation to all services provided by the OUR including general information, admissions, registration, fees, financial aid, and student records, as well as general information for other University services. You will be responsible for responding to a large volume of inquiries and processing transactions via phone, email, and front counter interactions.
Key responsibilities include:
- Serving students throughout the full student life cycle, helping them navigate the University systems/processes, and empowering them to use services and resources that are available to them;
- Responding to each inquiry using the available resources to provide appropriate, accurate, and satisfactory resolution;
- Using the MacEwan website and Academic Calendar as the main source for information, guiding applicants and students on how to access and navigate the resources and services available across the University;
- Using the student information system, verifying and explaining status related to admissions, registration, fees, and convocation, then providing students with guidance on next steps;
- Using the student information system and electronic student file, completing data entry and processing for fee assessments and payments, transcript requests, registration transactions, and student personal information changes;
- Reviewing student accounts and enrollment history to troubleshoot issues with student records or registration and then coordinating with a Functional Analyst as needed to understand and resolve issues before guiding students on next steps;
- Attending to all incoming mail for the Office of the University Registrar, distributing documents to appropriate staff and departments;
- Checking and domiciling all incoming transcripts and other admissions documentation; and
- Assisting and supporting with the on-boarding of new employees, including job shadowing and training.

- Knowledge of PeopleSoft Campus Solutions or another Student Information System would be considered an asset.
Qualifications
- A minimum of a post-secondary diploma with a focus in records/data management, administration, or customer service.
- A minimum of 1 year customer service or administrative support.
- Experience working in a Registrar's Office and/or knowledge of online registration systems would be considered an asset.
- An equivalent combination of education and experience may be considered.
