The School of Dentistry is expanding its research enterprise—and we’re looking for a highly organized, proactive Research Project Coordinator to help drive our growing portfolio of research programs, grants, and trainee initiatives.
In this role, you’ll support faculty, trainees, and research units by coordinating project planning, funding acquisition, ethics compliance, data governance, and full lifecycle management of research studies. You’ll also manage internal grants, adjudication committees, research events, and departmental reporting that showcases our impact.

What You’ll Do
Research Coordination (70%)
- Identify targeted internal and external funding opportunities and share them with faculty and trainees.
- Support PIs with grant writing, editing, budget development, and full application assembly.
- Ensure compliance with UAPPOL, REB/ARISE, HIA, Tri‑Agency guidelines, EDI‑D, and Research Data Management (RDM) requirements.
- Track project timelines, KPIs, publications, and research outputs using digital project management tools.
- Liaise with RSO, VPRI, Tri‑Agency sponsors, Alberta Innovates, and external partners.
- Coordinate research meetings, agendas, action items, and follow‑ups.
- Support knowledge mobilization through seminar series, abstracts, and research dissemination.
Research Administration (30%)
- Manage internal grants, endowments, seed funding programs, and applicant intake.
- Coordinate adjudication committees, scoring rubrics, reviewer logistics, and award notifications.
- Support departmental research committees with agendas, minutes, and governance documentation.
- Deliver onboarding for new investigators and connect them to U of A research resources.
- Maintain databases of grants, awards, publications, and trainee participation for accreditation and annual reporting.
- Coordinate research events, symposiums, workshops, and guest speaker sessions.
- Create and maintain research web content and collaborate with FoMD Communications on newsletters and public engagement.
What You Bring
- Education & Experience
- A Bachelor’s degree in a relevant scientific, health, or research administration field is required. A Master’s degree is desirable, and an equivalent combination of education and progressive experience will be considered.
- 3–5 years of progressive experience in academic research administration or project coordination.
Technical Skills
- Strong understanding of health sciences research, ethics systems (ARISE/REB), HIA, and Tri‑Agency mandates (EDI‑D, RDM).
- High proficiency with academic databases (PubMed, Scopus, Web of Science) and research metrics.
- Skilled with Microsoft 365, Google Workspace, project management tools (Asana, Trello, Monday.com), and virtual collaboration platforms.
- Ability to synthesize complex data into clear, actionable insights.
Project & Communication Skills
- Demonstrated expertise supporting pre‑ and post‑award grant processes.
- Exceptional organization and ability to manage multiple deadlines across diverse projects.
- Excellent written and verbal communication skills for grant editing, governance documentation, and web content.
- Strong interpersonal skills and the ability to work with faculty, trainees, institutional leaders, and external sponsors.
