Word/Data Processing Clerk II - Promotion Process Administrative Clerk

The Edmonton Police Service requires an organized, detail-oriented, flexible individual to provide administrative support for the Leadership Development Branch, which includes the Promotion Section and Leadership Development Section. Responsibilities will include:

• Providing confidential administrative support to the Inspector of the Leadership Development Branch, the Staff Sergeant of the Promotions Section, and the Manager of the Leadership Development Section.
• Supporting the effective and efficient administration of all stages of the promotion process, including coordinating schedules, resources, exams, group calendars, facilities, equipment, candidate communications, panel requirements, and daily correspondence.
• Preparing interviews supporting materials, spaces and required technology, attending interviews to accurately record minutes, and completing related correspondence and follow-up activities.
• Responding professionally and consistently to promotion process questions and general inquiries, maintaining the Promotions SharePoint communications site, and escalating process concerns or sensitive matters through the appropriate chain of command.
• Entering and maintaining accurate promotion process information in spreadsheets and other tracking systems. Preparing the information in a usable format for review and analysis.
• Managing calendars and coordinating meetings for the Inspector, Staff Sergeant, and Manager, including preparing agendas and supporting materials, recording and distributing minutes, tracking action items, and maintaining files and documents.
• Maintaining receipts and reconciling monthly purchasing card statements for the Inspector, Staff Sergeant, and Manager, including identifying and flagging items requiring review.
• Coordinating administrative requirements for leadership development programs and workshops, including participant registration, attendance, waitlists, joining instructions, scheduling, and program records.
• Supporting coaching and mentoring programs by coordinating intake processes, scheduling, participant-matching documentation, and record tracking.
• Preparing, assembling, packaging, and distributing participant learning materials, facilitator guides, handouts, name tents, certificates, and other course resources.
• Coordinating updates to leadership development materials under the direction of Organizational Development Consultants and maintaining an inventory of program materials and supplies.
• Supporting confidential Leadership 360 reviews by coordinating the collection, organization, and compilation of feedback information and assisting with the scheduling and administration of debrief sessions.
• Coordinating classrooms, meeting spaces, facilitators, guest speakers, catering, and technology requirements for leadership development programs, and providing on-site administrative support when required.
• Performing other related duties as required.
   

Qualifications

• Completion of the twelfth (12th) school grade including business subjects related to word and information processing or related to data entry or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications. 
• A minimum of two (2) years of diversified word and/or information processing experience or diversified data entry experience including general office procedures.
• Experience with Microsoft Word, Teams, Excel, PowerPoint, Outlook, Sharepoint, Forms, and Adobe Acrobat.
• Strong organizational, interpersonal, communication, and time management skills.
• Ability to prioritize work and time to meet tight and competing deadlines.
• Considerable knowledge of modem office practices, procedures, and equipment.
• Ability to adapt to change and work in a multidisciplinary team setting.

Hours of Work: 40 hours per week, Monday to Friday Hours of work may be subject to the terms and conditions of a variable hours of work program.

Salary Range: 21B, Salary Grade: 007, $25.17 - $31.25 (Hourly); $2,013.90 - $2,500.50 (Bi-Weekly); $52,563.31 - $65,262.53 (Annually).  The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
