Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.
The Volunteer Management Coordinator is an integral member of the National Recruitment unit in Student Recruitment within the Office of the Registrar. Responsible for the management of the U of A Ambassador program, including recruitment, training, recognition and day-to-day operations, the Coordinator ensures that this dynamic student volunteer team is supported in their mission of representing the University of Alberta to not only guests on campus, but also to the greater community. The Volunteer Management Coordinator will also be involved in the coordination and facilitation of the Campus Visit Program, Open House, the Student Service Centre Triage Program, The Ambassador Platform, and a variety of campus and community engagement events.
- Identifies areas and initiatives that require volunteer support.
- Provides support for development of U of A Ambassador recruitment elements (ie. advertising, swag, website development and maintenance, etc.).
- Provides recommendations to the Team Lead, Future Student Experience on ways to enhance the recruitment process, such as considering ACB objectives, and the application itself.
- Maintains and monitors U of A Ambassador application form submissions, ensuring that application form is current and applicable.
- Participates in the full cycle of recruitment for U of A Ambassadors and coordinates the execution of annual recruitment activities.
- Identifies, develops and delivers training to U of A Ambassadors.
- Schedules U of A Ambassadors for events throughout the year.
- Provides staff support (including scheduling and minute-taking) to various Action Teams composed of U of A Ambassadors and liaises with Team Lead, Future Student Experience on agenda items impacting strategic direction and/or finances.
- Directly mentors a group of senior volunteers in a peer leadership position within the program, including leading meetings, coaching, and facilitating feedback conversations.
- Develops standard event kits to be used for various events and gatherings.
- Coordinates volunteer communication in various mediums (i.e., in-person, phone, e-mail and Slack).
- Through consultation with the Team Lead, creates and coordinates structured Volunteer Recognition plans.
- Oversees the Student Service Centre Triage Program.
- Identifies and liaises with partners for opportunities for U of A Ambassador community engagement (Alumni Weekend, Pride Week, Round Dance, etc.).
- Provides in-person support (including problem solving and issues management) to U of A Ambassadors and University of Alberta/community partners when required at events.
- May provide basic transactional services within Student Service Centre, when required.
- Bachelor’s degree and/or a two year diploma with additional years of experience.
- One year of experience working within the post-secondary environment.
- Strong client service aptitude.
- Strong public speaking skills.
- Demonstrated supervisory experience or experience managing volunteers.
- Proficiency in Microsoft Office, Google Products (Gmail, etc.) and social networking.
- Excellent communication and interpersonal skills.
- Experience providing effective coaching, mentorship and guidance to volunteers is an asset.
