Accommodations are available during the hiring process, upon request.As the Transit Event Planner, you will develop and manage an annual event plan to support organizational initiatives. This role leads the planning and execution of business unit wide events (e.g., Employee Appreciation BBQ, United Way campaigns), ensuring alignment with corporate goals and cost efficiency. The position also enhances internal communication by supporting the Director's contributions to employee communication bulletin and Town Halls, promoting transparency and employee awareness. In addition, the Transit Event Planner designs and maintains a structured recognition program (Calgary Transit (CT) Honors) to celebrate achievements and reinforce organizational values. Primary duties include:
- Assist organizers with pre-event logistical requirements, including an event plan, invitations and notifications, vendor bookings, development of event themes and concepts, creative ideas, menu planning, and audiovisual needs.
- Update and maintain the existing engagement plan, strategies, and execute events.
- Oversee all the events which include managing the event site from start to finish, including event setup, directing staff, volunteers, and vendors on the day of the event. Troubleshoot issues in real time to ensure smooth operations.
- Budget and financial management, i.e., tracking expenses and ensuring cost effectiveness which may include administrative tasks such as reconciling invoices and corporate credit card transactions.
- Collaborate with the Communications team and other subject matter experts as needed to deliver messages to internal staff.
- A certificate in Event Planning and at least 1 year of event planning experience.
- A valid Class 5 Driver's Licence (or provincial equivalency) with no more than 6 demerits and no current suspensions or charges pending.
- Experience using Microsoft Office will be considered an asset.
- Proven ability to coordinate volunteers, collaborate with diverse teams, and manage multiple projects and deadlines in a fast-paced environment; event planning or project management certifications are considered an asset.
- Experience managing event budgets, vendors, contracts, and logistics, with demonstrated organizational, communication, and partners management skills.
- Applicants will be tested for appropriate skills.
- Must obtain a City of Calgary operator's permit
- Successful applicants must provide proof of qualifications.
- This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

- Days of work: This position works a 5-day work week with 1 day off in a 3 week cycle.
